About Service Scope and Registration with SEN Service

Q1. I am a newly admitted student with special educational needs. Who should I contact to apply for accommodations?

You can contact the SEN Service of the Office of Student Affairs for registration and application of services (phone: 3943 5441, e-mail: sens@cuhk.edu.hk). You are strongly encouraged to register with our service as early as possible to ensure timely arrangements of your learning accommodations.

 

Q2. What documents do I need to prepare for applying accommodation?

Please refer to the section SEN Service Registration for more information.

 

Q3. I am a student with physical disability and would like to apply for exemption of P.E. classes. How can I apply for that?

Students who may not be suitable to attend regular P.E. classes due to SEN or other health conditions may take a special programme catering to their needs. Medical documentation is necessary. For students with SEN, please contact the SEN Service Manager (phone: 3943 5441, e-mail: sens@cuhk.edu.hk) for details and application. For students with other medical reasons or health problems, please contact the Physical Education Unit for the application procedure.

 

Q4. I have a temporary injury and need rehabilitation bus service. How can I apply for it?

You would need to approach the University Medical Service Office (UMSO) for application. Please make an appointment with UMSO and prepare relevant medical documents about your injuries if you have attended treatment outside UMSO. The physicians of UMSO will decide if you are eligible for rehabilitation bus service. Please note that there are regulations for using service, and the service is subject to availability. For details, please refer to On-campus Rehabilitation Bus Service (Rehabus).

About Special Examination Arrangements

Q1. I am a newly admitted student with special educational needs. Who should I contact for applying special examination arrangements?

You can contact the SEN Service of the Office of Student Affairs (phone: 3943 5441, e-mail: sens@cuhk.edu.hk). Our SEN Service Manager would discuss possible arrangements based on your learning needs.

 

Q2. What documents do I need to prepare for applying special examination arrangements?

Recent documentation on your SEN and the special examination arrangements that you have received in the past would generally be required. Please refer to the section SEN Service Registration for more information.

 

About Privacy/Confidentiality of Student Information

Q1. Would SEN Service disclose my SEN information to my affiliated Faculty, Department, and College?

All personal data submitted to the SEN Service is treated with utmost confidentiality, in accordance with the University’s Policy in Protection of Personal Data (Privacy) and the Personal Data (Privacy) Ordinance. The information you provided is strictly used for the purposes of processing your registration with the SEN Service and arranging appropriate accommodations with relevant units of CUHK on a need-to-know basis and upon your consent at the time of your registration with us – meaning that the disclosure of your SEN and associated accommodations is restricted to the course offering departments and instructors of courses that you are currently enrolled.

About Suspected Students with SEN/Student Referral

Q1. I am a CUHK staff, and I have a student who seems to have learning difficulties and needs and/or who claims to have some features of SEN. What kind of support/resources could I recommend to this student?

You may refer the student to contact SEN Service; an appointment will be scheduled for the student to meet with our SEN Service Manager, who will discuss with the student his/her learning needs and refer the student to take relevant assessment by external professionals if necessary. If the student has been assessed and/or diagnosed a certain type of SEN, he/she will be eligible to register with SEN Service, and our SEN Service Manager will discuss further about the possible lecture and/or examination accommodations with him/her.

 

Q2. I am a CUHK student; I have never been diagnosed/assessed with SEN but I recognize that I have features of certain SEN type(s) for a prolonged period, which might have caused learning difficulties in my studies. How may I seek support from the University?

You may reach out to SEN Service to schedule an appointment to meet with our SEN Service Manager, who will assess preliminarily and may refer him/her to take relevant assessment by external professionals if necessary. Alternatively, you may also consider visiting the University Medical Service Office to see the general practitioner and psychiatrist for assessment. If you have been assessed and/or diagnosed a certain type of SEN, you will be eligible to register with SEN Service, and our SEN Service Manager will discuss further about the possible lecture and/or examination accommodations with you.

About Interacting with People with Special Needs

Q1. How to facilitate effective communication with people who have hearing impairment?

Many people with hearing impairment, especially those with severe impairment, rely on reading lip movement to facilitate understanding of others’ speaking. So, when speaking to them, it may help if you face them and let them see your lip movement. Try to repeat what you said if they have difficulties understanding your oral messages. For some individuals with hearing impairment who mainly use sign language, written messages with some gesture will help. If the person is with unilateral hearing impairment, you can speak on the side with better hearing ability.

 

Q2. How can I convey my message to people with visual impairment?

You can speak to them by means of audible signals. Avoid using visual channels such as eye contacts, gestures, etc. Describe directions to them clearly by using expressions like “on your left/right” (instead of “here” or “there”). More tips on interacting with people who have visual impairment can be found on the website of Hong Kong Blind Union.
